How it works
- Point it at the inbox your suppliers already use. Microsoft 365, Outlook.com, the Outlook app on your PC, or Gmail and most other email.
- It reads each invoice with AI: the supplier, the invoice number and the job number, even when it's written loosely ("Job 4471 – Smith reno").
- It attaches the invoice to that job in ServiceM8. Anything it can't file shows up on its main screen with what to do, so nothing slips through.
Why not ServiceM8's own invoice import?
ServiceM8 can import supplier invoices, but only ones sent to a special ServiceM8 email address, and only when the PO number exactly matches the job number. That means getting every supplier to change where they send invoices, and to write your job numbers just right.
- Nothing changes for your suppliers. InvoiceWarden reads the inbox you already have, so every supplier works from day one, including small ones no system integrates with.
- Job numbers don't have to be perfect. The AI finds them wherever they are on the invoice.
- Catch up on what's already there. "Go back further" files older invoices sitting in your inbox.
What else it does
- New suppliers are added for you when their first invoice arrives; you check them once.
- Different names, same supplier: tell it the other names a supplier uses and it matches them all.
- No double-filing: an invoice already sent to a job is skipped, even if it's emailed twice.
- Credit notes are linked to the job the original invoice went to.
- Plain-English activity: "Tradelink · invoice 55102: filed to ServiceM8 (job 4471)", with today's and this week's totals at a glance.
Good to know
- Your data stays with you. Invoices go only between your email, ServiceM8 and the AI service you choose; nothing passes through us. Saved logins are encrypted on your PC.
- You'll need: a ServiceM8 API key and an AI key. A free Google Gemini key works (on Google's free tier, Google may use what's sent to improve its products); a paid key, usually well under A$1 a month, keeps your invoices out of that. The setup wizard walks you through both, with a Test button for each.
- Rather not deal with AI keys? You can request access to Sixth Day Studios AI instead: no key needed, but your invoices pass through our server on their way to the AI (we don't keep them).
